What data we collect and why
Contact and enquiry form
When you use our contact form, we collect the information you provide: your first and last name, company name, email address, phone number, the type of fluid you are interested in, the type of request, your industry or use case, and the content of your message. We use this only to respond to your enquiry and to follow up on a possible business relationship. The legal basis is your consent and our legitimate interest in responding to enquiries and taking steps at your request before entering into an agreement.
Orders and purchases
If you place an order through our webshop, we collect the details needed to process and fulfil it, including your name, billing and delivery address, email address, phone number, and the products ordered. Payment is handled by our payment provider; we do not store your full payment card details on our servers. The legal basis is the performance of our contract with you and our legal obligation to keep proper business and tax records.
Website usage and cookies
When you visit our website we collect limited technical information such as your IP address, browser type, and how you use the site, through cookies and similar technologies. See “Cookies and analytics” below.
Cookies and analytics
Our website uses cookies and similar technologies. On your first visit you are asked for your cookie preferences through our consent banner, and you can change or withdraw your choice at any time using the cookie settings on the site.
We use the following categories:
- Functional cookies: necessary for the website and webshop to work correctly. These are always active.
- Analytics and statistics: we use Google Analytics and Hotjar to understand how visitors use our website so we can improve it. These may collect information such as pages visited, time on site, and general interaction patterns. They are only placed with your consent.
Google Analytics and Hotjar are provided by third parties who process this data on our behalf. Depending on the provider, some data may be processed outside the European Economic Area; where that happens, appropriate safeguards such as the EU Standard Contractual Clauses apply.
Who we share your data with
We do not sell your personal data. We share it only with service providers who help us operate this website and our business, and only as far as necessary. These include our web hosting provider, our email provider, our analytics providers (Google and Hotjar), and, for orders, our payment and shipping providers. All of them are required to protect your data and to use it only for the purposes we specify.
How long we keep your data
We keep enquiry and contact form data for as long as needed to handle your request and any resulting business relationship, and no longer than necessary afterwards. Order and invoice records are kept for 7 years, in line with Dutch tax law. Analytics data is retained according to the settings and policies of the relevant provider.
Your rights
Under the General Data Protection Regulation (GDPR) you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to our processing of your data;
- receive your data in a portable format;
- withdraw your consent at any time, where processing is based on consent.
To exercise any of these rights, contact us at info@synano.eu. You also have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
Security
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, and unauthorised access. While no method of transmission over the internet is completely secure, we work to keep your data safe.
